Privacy policy
Effective October 4, 2026
This policy explains what information the Wallingford Sunday Volleyball League website (wallingfordvolleyball.com) collects, how it is used, who can see it, and how to have it removed. The league is run with the Town of Wallingford Parks & Recreation Department.
Information we collect
When you sign in. You can sign in with Google or with a link sent to your email address. If you sign in with Google, we receive your name, email address and profile picture from your Google account. We do not receive your Google password, and we do not ask for access to your Gmail, contacts, calendar, Drive or any other Google data.
When you set up your account. Players give us their name, phone number, mailing address and an emergency contact. We do not ask for your date of birth: when you sign the waiver you confirm you are 18 or older. Parks & Recreation staff give their name and nothing else.
When you sign the waiver. We record the name you typed, that you confirmed you are 18 or older, the date and time, your IP address and your browser type, as the record that you signed.
During the season. Referees record which matches you played, and referees and captains record game results.
Free agents. If you join the free-agent list, we store your skill level, the way you prefer to be contacted, and any note you add.
How we use it
We use your information only to run the league:
- to let you sign in and keep you signed in;
- to put you on a team and let your captain reach you;
- to confirm you are old enough to play and have signed the waiver;
- to track attendance for playoff eligibility, and to publish schedules, results and standings;
- to email you about your account, your team, schedule changes and cancellations.
We do not sell your information, use it for advertising, or share it with advertisers or data brokers.
Who can see your information
Each person sees only what they need for their part in the league.
- Anyone, signed in or not, sees team names, schedules, results, standings and league photos. No player names, rosters or contact details are shown to anyone who is not on a team, captaining one, refereeing, or running the league.
- Your teammates see your name and nothing else about you.
- Your captain sees your name, phone number and email address, so they can reach you about matches.
- If you are a player, you see your teammates' names, and your own captain's name, phone number and email address.
- Referees see the names of the players on each team, to record attendance on match nights. They do not see contact details.
- Free agents who join the list agree that captains this season can see their name, skill level, note and the one contact method they chose.
- Wallingford Parks & Recreation staff see each team's roster with every player's name, phone number, email address, mailing address and emergency contact, and the signed waiver records, and record which teams have paid. This is a condition of using the Town's facilities.
- League administrators see everything in your profile, including your address and emergency contact.
- You can see and change everything we hold about you under Contact details, and see your own signed waiver.
Google user data
The website uses Google Sign-In only to confirm who you are. The name, email address and profile picture we receive from Google are used to create and identify your account on this website and for no other purpose. We do not transfer this data to anyone else, except the service providers listed below that host the website on our behalf, and we do not use it for advertising.
The website's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Service providers
The website runs on a small number of services that store or process data on our behalf: Vercel (website hosting), Neon (database), Cloudflare (photo storage), Resend (email delivery) and Google (sign-in). They handle the data only to provide their service to us.
Cookies
We use one cookie to keep you signed in. It lasts up to 90 days. We do not use advertising or tracking cookies.
How we protect it
All connections to the website are encrypted (HTTPS). Access to personal details is limited by role, as described above, and every administrative change is recorded.
How long we keep it
Rosters and signed waivers are kept for as long as the league runs, because they are the record that each player was cleared to play. Everything else is kept while your account is active.
Deleting your information
You can ask us to delete your account at any time, and we will remove your profile and contact details. The only thing we keep is the signed waiver record for seasons you played, which the league must keep. To make a request, or if you signed in with Google and want to disconnect the website from your Google account, contact us as described below. You can also remove the website's access at any time from your Google account permissions.
Age
The league is for adults. You must be 18 or older to play, and we do not knowingly collect information from anyone under 18.
Changes to this policy
If we change this policy, we will post the new version here and update the effective date.
